Policies, Terms & Conditions

Visa

Please refer to the government website to obtain a visa online: www.eta.gov.lk. All passengers/tour operators are free to submit the application online with immediate acknowledgement from Sri Lanka Immigration.

Pre-Travel Information

• Passports must be valid for at least six (6) months beyond the intended stay, and clients are responsible for meeting all passport and visa requirements.
• Missed or delayed flights may result in itinerary changes, and any additional costs will be borne by the client.
• Standard hotel check-in is between 14:00-15:00 hrs and check-out is between 11:00-12:00 hrs; early check-in and late check-out are subject to availability.
• Accommodation will be provided in standard rooms unless otherwise specified.
• Airline schedule changes and cancellations are subject to the respective airline's policies.
• Clients are advised to carry a universal adapter, local SIM card and sufficient foreign currency.
• Travel times mentioned are approximate and may vary due to traffic, road or weather conditions.
• In Sri Lanka, alcohol consumption and entertainment activities may be restricted on Poya Days as per local regulations.

Booking Confirmation & Payment Policy

To maintain the high operational standards of The Wanderlust Vacations, the following payment terms are absolute. No services will be rendered, and no bookings will be confirmed until funds are cleared in our accounts.

1. Booking Confirmation & Initial Deposit

A booking is only considered "Confirmed" once a 30% non-refundable deposit is received and cleared. Upon receipt of funds, we will issue a formal Booking Confirmation Voucher. Until this voucher is issued, any quote or itinerary provided is subject to change in price and availability without notice.

2. Final Balance Deadline

The remaining 70% balance must be paid in full no later than 45 days prior to the tour start date. Late Payment Penalty: if the balance is not received by the 45-day deadline, your booking will be automatically cancelled, and your initial 30% deposit will be forfeited in its entirety. We do not send multiple reminders; the responsibility to pay lies solely with the Client.

3. Last-Minute Bookings

Any bookings made within 45 days of the tour start date require 100% full payment at the time of booking. Confirmation for last-minute bookings is subject to immediate vendor availability.

4. Price Fluctuations & Quotes

Quotes are provided in US$ and are valid for 48 hours only. Due to the volatility of local transport costs and exchange rates, we reserve the right to adjust the tour price if the deposit is not paid within the 48-hour window.

Cancellation & Refund Policy

By booking a tour with The Wanderlust Vacations, you (the Client) agree to the following binding terms. These policies are non-negotiable and strictly enforced to ensure the operational integrity of our services.

1. Non-Refundable Deposit

A 30% non-refundable deposit of the total tour cost is required to secure any booking. This deposit covers administrative overhead, vendor reservations and procurement costs. It is forfeited immediately upon cancellation by the client, regardless of the timeframe.

2. Cancellation Penalties

All cancellation requests must be submitted in writing via email to ops@twvacation.com. The effective date of cancellation is the date your email is received by our office, and all applicable penalties are calculated accordingly. No exceptions will be made for medical, personal, or travel-related disruptions - any such claims should be submitted directly to your travel insurance provider.

• 60 days or more prior to arrival: forfeiture of the 30% non-refundable deposit.
• 45 days or less prior to arrival: 100% cancellation fee of the total tour price. No refunds, partial credits or date changes will be granted under any circumstances.

3. Third-Party & Pass-Through Costs

Regardless of the above tiers, costs for internal flights, special permits or luxury boutique accommodation with stricter individual policies are 100% non-refundable once booked. Any refund issued will be net of any bank transfer fees or currency conversion losses.

4. No-Shows and Late Arrivals

Failure to arrive at the designated start point at the scheduled time constitutes a "No-Show" and is subject to a 100% cancellation fee. No refunds or alternative arrangements will be provided for missed transport, activities or accommodation due to client punctuality issues. In the event of a personal emergency, medical issue or flight disruption, the client must seek reimbursement through their insurance provider - The Wanderlust Vacations will not act as an insurer.

5. Amendments and Date Changes

Any request to change tour dates after a deposit is paid is subject to a $100 USD amendment fee per person. Changes are subject to availability and any seasonal price increases in accommodation or transport.

6. Operator Cancellations (Force Majeure)

If we are forced to cancel a tour due to extreme weather, political instability or safety concerns, you will be offered a full refund of the tour price or a credit for a future date. The Wanderlust Vacations is not liable for any incidental expenses incurred by the client, including but not limited to international airfare, visa fees or vaccinations.

Terms & Conditions

• All rates are subject to availability at the time of booking.
• This is a quotation only; no rooms or services are reserved until confirmation. If listed hotels are unavailable, similar-category alternatives will be provided.
• Payments in US$ are subject to the prevailing exchange rate on the date of payment.
• Peak season surcharges may apply on selected dates.
• The itinerary may be adjusted without prior notice due to operational requirements.
• A third occupant will be accommodated on an extra mattress or rollaway bed.
• No refunds will be provided for any unused services or sightseeing.
• Clients are responsible for obtaining and verifying all required travel documents, including visas.

Client Conduct & Liability Waiver

By participating in any tour organized by The Wanderlust Vacations, the Client acknowledges and agrees to the following terms regarding personal conduct, safety and legal liability.

1. Assumption of Risk

The Client acknowledges that travel to the destination involves inherent risks, including but not limited to unpredictable weather, rough terrain, local transport standards and wildlife encounters. By booking, the Client voluntarily assumes all risks of personal injury, emotional trauma, property damage or death. The Wanderlust Vacations acts as a facilitator and is not an insurer of the Client's safety.

2. Client Conduct & Safety Compliance

The tour leader/guide's decision is final on all matters of safety and group well-being. We reserve the right to terminate the tour for any Client whose behaviour is deemed dangerous, illegal or severely disruptive to the group or local culture. Termination for conduct results in a 100% forfeiture of all funds paid, and the Client will be responsible for their own transport and costs from the point of dismissal.

3. Limitation of Liability (Third-Party Vendors)

The Wanderlust Vacations coordinates services with independent contractors (hotels, airlines, transport companies and local excursion providers) and is not liable for the acts, errors, omissions, warranties or negligence of these third-party providers, nor for any personal injuries or property damage resulting therefrom.

4. Health & Physical Fitness

The Client warrants they are in good physical and mental health and have disclosed any medical conditions that may impact their ability to complete the itinerary. If a Client is unable to complete an activity due to fitness or health issues, no refunds will be issued for the missed portion of the tour.

5. Illegal Acts & Local Laws

The Client is strictly required to comply with the laws of the host country. Any involvement with illegal substances, prohibited items or unauthorized drone usage is grounds for immediate expulsion from the tour. The Wanderlust Vacations will provide zero legal or financial assistance in the event of a client's arrest or detention.

6. Photographic & Media Release

We reserve the right to use any photography or video taken during the tour for marketing and promotional purposes. If the Client does not wish to be featured, they must provide written notice prior to the start of the tour.

7. Indemnification

The Client agrees to indemnify and hold harmless The Wanderlust Vacations and its staff against all claims, lawsuits or costs arising from the Client's own actions or negligence during the tour.

• As availability is subject to change at the time of booking, all services included in this quotation are offered subject to availability upon confirmation of your reservation.
